Planner Guide
Why Team Trips Need a Plan
Team travel is not like other group travel. Rosters change, games run long, gear takes as much room as people, and the bus has to leave on time even when practice ended late. Most of the stress on a road trip comes from details nobody wrote down: how many people are really going, what time the team must report, which bags go under the floor. This guide walks through those details in the order a coach or team manager meets them.
We wrote it from what we see planning team trips every season. Jet Set Line is a family-owned charter company, founded in Orlando in 1987, running over 30 luxury motorcoaches across Florida and to other states. The checklist below works for any team and any carrier. Where it helps, we explain how we handle each step, so you know what to ask and what a well-run charter company should already be doing for you.

Four Things to Get Right
Lock the Schedule Early
The earlier a charter company sees your full schedule, the easier it is to reserve coaches for busy weekends. Two to four weeks ahead suits most trips; plan four to eight weeks for playoffs, holidays and large groups.
Plan From Report Time
Start with the time the team must be at the venue, then work backward through driving time, a buffer for traffic and any meal stop. The pickup time is the last thing you set, not the first.
Count People and Gear
A headcount that includes coaches, trainers and managers, plus a list of bags, carts and coolers, tells the charter company how many coaches and how much under-floor space the trip really needs.
Know Who to Call
Before departure, save the company's dispatch number. If a game runs late or plans change, one call to dispatch keeps the driver, the team and the ride home on the same page.
Your Road Trip Checklist
Send the Whole Schedule at Once
Games, tournaments and a full season can be planned together. When a charter company sees every date at the start, it can reserve coaches for the busy weekends before they fill up, and you can plan your travel budget around one picture instead of a string of separate requests.
Work Back From Report Time
Start with the time your team must be at the venue, ready to warm up. Subtract the driving time, add a buffer for traffic and allow for a meal stop if the trip crosses a mealtime. What is left is your pickup time, and it should feel slightly early.
Count Everyone Who Rides
Players are only part of the headcount. Add head and assistant coaches, athletic trainers, managers and any staff or chaperones. Each motorcoach seats 56 to 60 passengers depending on the model, and large programs or multi-team events often travel in several coaches that leave together.
List the Equipment
Equipment can take as much planning as people. Write down the bags, ball carts, coolers, medical kits and any large items such as long cases. Sharing the list ahead of time lets the under-floor luggage bays be planned, and tells you early whether a second vehicle makes sense.
Plan Long Days and Overnights Together
Federal hours-of-service rules limit how long a driver can be on duty. A long tournament day with travel at both ends may need a second driver or an overnight stop. Build the itinerary with the charter company, including game times and the return, so every driving day fits the rules.
Make the Ride Home Count
The trip home is recovery time. Reclining seats, an onboard restroom and climate control let players rest, and power outlets at most seats keep phones and tablets charged. If the team needs internet for game film or schoolwork, ask about Wi-Fi, which is a paid add-on.
Be Ready for Game-Day Changes
Overtime, weather delays and bracket changes happen. Save the company's 24/7 dispatch number before you leave and give it to your team manager too. If the game runs late or plans change, call dispatch right away so the driver and the return trip can adjust.
Check the Carrier
Parents and schools often ask, so check before you sign. Look up the company's USDOT number on the FMCSA Company Snapshot, see its safety rating and confirm insurance is on file. Jet Set Line is USDOT 478281, with a Satisfactory rating and $5 million in liability insurance on file.
How Jet Set Line Supports Teams
Our motorcoaches seat 56 to 60 passengers each, depending on the model, with under-floor bays for equipment, overhead racks, reclining seats with footrests, climate control, an onboard restroom and power outlets at most seats. Bigger programs and tournaments can book several coaches that travel as one movement. Wi-Fi is available as a paid add-on. If an athlete or staff member uses a wheelchair, mention it in your request: select coaches have a lift.
Dispatch runs 24/7, and our team speaks English and Spanish. Jet Set Line holds a Satisfactory safety rating from the FMCSA, the highest it gives, after a federal compliance review in January 2025, carries $5 million in liability insurance on file with FMCSA, and is an approved charter vendor for Florida school districts including Volusia, St. Lucie, Miami-Dade and Hernando. Look us up under USDOT 478281. Gratuity, tolls and parking fees are not included unless specified.
Questions
Common Questions
How far ahead should we book a team bus?
For most trips, two to four weeks ahead is enough. For playoffs, peak seasons, holidays and large groups that need several coaches, plan four to eight weeks ahead. If you already know the season schedule, send it all at once so coaches can be reserved for the busiest weekends.
Will all our equipment fit?
Equipment bags, ball bags, cases and coolers ride in the under-floor luggage bays, and backpacks go in the overhead racks. List anything large or unusual in your quote request, such as team carts or long equipment cases, so the space can be confirmed or a second coach suggested.
What happens if the game runs late?
Call dispatch, which runs 24/7, as soon as you know, and tell your driver too. Dispatch will work with you on a new departure time. Extra time can affect driver hours and total charter time, and your charter agreement explains how it is handled.
Can you quote a whole season at once?
Yes. Send every date, venue, departure time and headcount you know, and we will quote the full schedule together. It helps athletic departments plan their budget early. Vehicle assignment depends on group size and availability on each date.
Do we need a second driver for long trips?
Sometimes. Federal hours-of-service rules limit how long a driver can be on duty, so depending on the itinerary a long day may require a second driver or an overnight stop. Share the full plan, including game times and the trip home, and we will plan the driving with you.
